Full Job Description

Alex Stewart International are currently looking for a Laboratory Administrator to join our team. The successful candidate will provide laboratory administration services for all commodities within ASi in conjunction with the other Laboratory Administrators and the Client Services Department.

KEY TASKS

1. Provision of first class customer service.

2. Customer liaison maintaining regular contact and building rapport on business related issues.

3. Provision of tenders/quotations for new/existing samples.

4. Client liaisons to acknowledge sample receipt dates and provide provisional completion of dates.

5. Checking for accuracy of information and signature for final certificates ensuring the inclusion of all relevant document and requested information.

6. To produce final invoices for clients, ensuring accuracy of information prior to despatch.

7. Database/ Sample receipt management in accordance with company procedures.

8. To close files in the computer ensuring that accuracy of information contained therein.

9. To liaise with laboratory staff in relation to turn around times.

10. To answer all queries, either by email or phone, received from clients or overseas offices.

11. Contribute to the laboratory quality of service.

12. Responsibility for the generation of sample certificates for Company Clients.

13. Assist in dispute resolution in conjunction with ASi procedures.

14. Processing of sales/purchases in line with Company guidelines.

15. Undertake responsibilities in accordance with Company policies and procedures.

16. Any other duties as required by Senior Management.

  • Able to communicate professionally with clients; delivering or requesting information.

  • Ability to learn and understand database systems.

  • Ability to learn, understand and apply new systems for Quality / Key Accounts / Servic delivery in line with ISO 17025:2005 standards.

  • Good customer facing skills, presenting a professional image and able to develop sound business relationships.

  • Good standard of literacy and numeracy., Competence with standard Microsoft software packages and experienced in preparing Management Information and reports.

  • Good understanding and appreciation of factors involved in delivering a profitable service.

  • GCSE grade A - C English and Maths.

  • Working knowledge of inspection and supervision.

  • Experience within a customer service or client facing environment.

  • Experience as an administrator.
